Green meetings

Build carbon management into your meeting.

Consider carbon management across planning, venue, materials, travel and assessment for a practical green-meeting approach.

Decide what green means before booking the meeting

By the time a venue and supplier are booked, some choices are already difficult to change. Bring carbon work into preparation while format, location and purchasing are still open. Write the meeting's dates, participants and communication purpose into the brief. Carbonstop's service materials describe planning, lower-carbon exhibition arrangements, accounting, credit-related work and review support. Agree which parts the meeting needs. UNEP's Green Meeting Guide offers a preparation reference; resource use and waste remain distinct issues alongside carbon. A footprint won't describe every environmental outcome. The organizing team needs practical instructions, not simply a green label on its invitation. Decide who can change a purchase, who can request venue records and who approves the eventual public statement. Those responsibilities make the brief usable when operational decisions arrive.

The meeting boundary should survive the invitation

A main session may have a setup day, supplier transport, organizer travel and a dinner around it. Decide which activities belong to the assessment. Describe venue energy, participant travel, accommodation, catering, materials and handling where relevant, with their periods and exclusions. An online option also needs a defined scope; don't assume no emissions simply because fewer people enter the room. Several sites or side meetings need an explicit relationship to the main event. Hard-to-collect activities shouldn't disappear silently. Write the agreed boundary somewhere suppliers and the reporting team can both use it. Otherwise the collection form may describe one meeting while the final announcement describes another. It is easier to resolve these differences before registration and contracting than after the venue has closed its event file.

Ask the venue what it can measure

A venue's annual energy bill isn't the same as metered energy for your meeting. Ask about the spaces, hours and evidence available before deciding how to allocate shared use. Travel forms need clear modes and locations; accommodation needs an applicable activity basis. Catering and materials need quantities and specifications, not only their invoice value. Collect the participant fields needed for the assessment and avoid unrelated personal details. Record survey coverage and the basis for treating missing responses. For displays, purchasing, rental, reuse and dismantling evidence can matter more than an attractive photograph. Put handover dates in supplier briefs. A provider still on site can answer a materials question that may be much harder once equipment has moved to its next booking.

An action plan needs someone to carry it out

Public-transport information, suitable remote attendance, reusable displays and demand-based supplies can be considered. Check whether attendees can use the arrangement and whether suppliers can deliver it. A measure on the planning slide isn't evidence that it happened. Give each selected action an owner and identify the record to retain. If a quantified saving is intended, define the comparison and calculation basis as well. A reusable sign or reduced print order may be worthwhile without a separately measured avoided-emissions claim. Reconcile the plan with actual orders and attendance afterwards. Include changes: an extra session or substituted supplier may affect the records needed. The carbon coordinator needs those updates during delivery, not only when somebody asks for the final report after the meeting.

Arrange the handover while the meeting is running

Preparation sets the scope and responsibilities. Delivery supplies actual records. Assessment then checks those records and explains the result; review asks what the next meeting should do differently. Discuss collection forms, action records, the accounting report and communication material in the project scope, rather than assuming one standard package. Ccloud and consulting provide a basis for discussing event records and accounting, with the workflow suited to meeting scale and requirements. Independent review, where needed, has its own evidence and roles. Keep provisional estimates distinct from what can be confirmed only after delivery. The organizer should know who supplies missing information and when. A final report deadline is realistic only if the evidence handover has a place in the venue's and suppliers' close-out work.

A credit receipt doesn't explain the meeting

If credits are considered, begin with the inventory and reduction work. Discuss the purpose, project, quantity and supporting evidence for their use. Present actions, remaining emissions and credit contributions separately. A purchase doesn't mean the meeting produced no emissions or that every related activity is covered by a carbon-neutrality conclusion. The intended claim needs a defined object, period and method, plus applicable assessment or certification requirements. Carbonstop can support credit-related consulting and communication preparation, with wording checked against the actual evidence. Keep the explanation with the meeting report so a reader can follow the steps. The organizing team should also retain the documents behind the statement. A short public message is easier to trust when the fuller account is available and consistent with it.

Make the review useful to the next organizer

After the meeting, note which venue requests were answered, where travel coverage was weak and which purchasing conditions worked. Record measures that didn't suit attendees too. The next organizer can use that information in procurement rather than rediscovering the same problems. Compare meetings with attendance, location, duration and boundary changes in view; totals alone don't explain performance. Chinese and English material should share the name, dates and definitions. For a first discussion, bring the meeting plan, venue options, participant estimate, material arrangements and intended statement. Existing service-provider records help identify what is available. Start where an operational choice can still be made, and keep the update responsibilities with the handover. That is how a reviewed meeting becomes a better brief for the next one.

FAQ

Questions before you decide.

Can accounting start after the meeting has finished?

Review existing venue, procurement, registration and travel records first, then assess coverage and gaps before agreeing a suitable scope. Information that can no longer be collected needs an explicit estimation basis and limitations. If reduction measures are to be evaluated, check for a comparison baseline and implementation evidence as well. Use the review to arrange earlier data collection for the next meeting.

What if attendees don't return travel questionnaires?

State response coverage and discuss treatment of missing information under the applicable method. Don't record nonrespondents as zero emissions. Existing registration or itinerary evidence may help support estimates, with visible assumptions. Explain the purpose and required fields during preparation to improve participation. Keep collection proportionate to the accounting task and distinguish reported travel from the portion that has been estimated.

Does buying credits make a meeting green?

Green-meeting work includes preparation, procurement, resource use and practical reduction actions. Credit use needs its own records and can't substitute for those activities. If a carbon-neutrality-related claim is intended, establish the accounting object, emissions basis, reductions, credit evidence and applicable requirements. The report should show how the organizer reached the claim rather than treating a purchase receipt as the entire sustainability outcome.

How can we evidence lower-carbon exhibition arrangements?

Retain material lists, purchase or rental records, reuse arrangements and the destination of materials after dismantling. Photographs can help show execution but usually don't establish a quantified reduction by themselves. A calculation requires activity information, materials, a comparison basis and a documented method. Decide during preparation whether the output is an action record or a quantified comparison so suppliers know what evidence to provide.
